PESA Camp and Clinic Fee Policy

To confirm and secure each participant’s spot, all camp and clinic fees must be paid in full at the time of registration.

While payment is required upfront, PESA understands that unforeseen circumstances may arise. In such situations—such as program cancellations, scheduling changes, participant withdrawals, or session disruptions—PESA may consider issuing a refund or credit in a prorated amount, subject to a case-by-case review.

The following guidelines apply:

  • Program Cancellations or Significant Changes: If PESA cancels or substantially modifies any portion of a camp or clinic, families may receive a prorated refund or credit for the affected sessions, pending review.

  • Participant Withdrawals: If a participant withdraws after the program has begun, a prorated refund or credit may be considered based on the number of unattended sessions, reviewed individually.

  • Session Disruptions: Interruptions due to events outside the control of PESA (e.g., facility issues, weather-related closures) may qualify for prorated reimbursement, also subject to case-by-case evaluation.

  • Behavior-Related Removals: Participants removed from a program due to behavioral issues will not be eligible for any refund or credit.
